Forms allow you to auto-fill a template with answers gathered through a form, preventing any manual errors. With the Forms tab, you can:
- Connect a pre-built form to your template directly in-app
- Show template content conditionally, based on recipients' submitted form answers
- Set up automations triggered by the completion of your forms, directly from the template's sidebar

Checklist before using the forms sidebar
In order to connect any template with your form, you need the following:
- A template under your account. This is the template you would like to use every time the form has been completed
- A form created in Partner Tools, under the same account the template is stored
- To get access to Partner Tools, please reach out to your Customer Success Manager
Using the forms sidebar
Connecting form fields to a template
You can quickly add fields from the form directly into your template's body by dragging and dropping them in the right places:
- Open the template you would like to connect with the form, and open the Forms tab on the right.
- Select the form you would like to connect from the dropdown list.
- Drag any of the fields and drop them within the body of the template - this is where the form's answer will appear in your template's content.
To check how the design of the form, click the eye icon in the forms sidebar. You can also share a direct link of the form with any recipient by clicking the three grey dots next to the eye icon.
Disconnecting a form from a template
To disconnect a connected form, click the three grey dots and select "Unlink form." All the form fields already connected to the template will be detached and converted into text:
Adding conditional clauses to a template
To show parts of the template conditionally, i.e. if specific form answers are submitted, set up conditional clauses in the template's body:
- Open the forms sidebar and connect a form
- Highlight or double-click on the text in the template's body, which must be displayed conditionally, and select "Show Conditionally"
- You can now define the condition further:
- Under "Show text if", select the form field from the dropdown list
- Is equal to/Is not equal/Is greater than/Is less than/Is answered/Is not answered: Select or insert the value
- Result: The text you have selected will only be included in the template's content if the form's field (respondent's answer) matches the condition you've chosen.
Using numbered or bulleted lists in conditional clauses
- If you have a numbered or bulleted list in the template, within a conditional clause, all numbers and bullets will be adjusted to match the correct sequence.
- It is important to use the numbered or bulleted list from the editor toolbar to ensure automatic reassignment of numbers or bullets, based on the form's input.
Here's an example of a conditional clause within a numbered list, based on the country field within the form:
When the form's respondent completes the country field, only the applicable clause will be shown in the generated draft:
Adding multiple conditions with the same logic to a clause
- Click on "Add condition" and define the format of the second clause
- Select "Any" for an OR conditional logic, ie. if any of the conditions for the form's field is met, the content will be displayed
- Select "All" for an AND conditional logic, ie. if all conditions for the form's field are met, the content will be displayed
Adding multiple conditions with different logic to a clause:
- Select "Add group" for a combined set of conditions that will apply to the same clause:
Your overview of all conditional clauses in a template
Once you have added a conditional clause, you will see a new button in your sidebar called 'Conditions preview'. This allows you to see all defined conditional clauses in the template:
In the template's body, all available conditional clauses will be highlighted in green, differentiated from the rest of the template's content in both Create and Preview mode:
Editing / deleting conditional clauses
In Create mode of the template:
- Double-click on the conditional clause, and this will allow you to edit, delete, add more conditions, or add a new group:
Creating automations with a form trigger
After connecting form fields to your template content and adding any conditional clauses if needed, you can set up a new automation in the automation builder.
This automation will allow you to auto-generate a new draft from the template once the form is completed by any respondent:
- At the bottom of the forms sidebar you will find a pre-set automation with the trigger 'When a form is filled then', and the action 'Create draft from this template':
- Click the automation and you will be taken to the automation builder to customize the automation further and publish.
- To customize further, click on the small plus icon under the last step in the automation builder to add any additional actions to your workflow (For example: "Request approval" automatic task assigned to you or another member of your team):
Head to the automations section of the sidebar to view and create other pre-set automations connected to the same template:
Defining the party and signee details
You can specify the party and signee details of the new draft created from the form submission.
- Click on the pre-set automation at the bottom of the forms sidebar:
- Select the 'Create a draft' action
- Head to the party and signees sections
- Configure the details by selecting the form fields under each section
- Save and publish the automation once you have completed your customizations
