How to edit and resend my contract?
As long as the contract you want to edit is still in Pending mode and it has not yet been signed by all recipient/s, you are able to amend its contents and send it for signature/s again. Read more about monitoring the status of your contracts and how to monitor it here.
If you notice any mistakes in the contract you have just sent to the recipient/s, you can go to the Documents tab, under Pending status. When you find the contract in the overview, click on the three small grey dots to the right of its title and choose Edit and resend from the drop-down menu.
This will allow you to make the required changes to the content, chosen signature method, or anything else, just remember to active the Full-text editing in Create mode. Once the changes are made, you can click on Send and sign or Resend for signatures (in case you are not a signee yourself) again.
If you are creating the contract for external parties only, after clicking on Resend for signatures you will be able to choose if you want to keep permission of viewing the contract after it has been signed in the following pop-up window:
Here is a short video showcasing how to make changes to the signature type of a Pending contract.
How to resend a contract without making changes to it?
If you do not want to amend any changes to the content of a pending contract created by you, but simply want to resend it for signatures, you can easily do that.
After locating the contract under the Pending tab of your documents' overview, click on the three small grey dots on the right-hand side and choose Resend from the drop-down menu.
By choosing this option, the contract will be sent to any of the recipients who have not signed it yet. They will be notified via email that their signature is requested and will be able to open the contract directly from the new email.
Can I resend a pending contract on behalf of a team member?
How to delete a contract?
As long as the contract is Pending you can also choose to delete it. In that case, the recipient/s will not be able to read or sign it.
Once it has been signed by all recipients, the status will automatically be changed to Signed and such a complete deletion will no longer be possible. Complying with the legal obligations, it is not permitted to cancel a signed contract and make it void.
How to edit a signed contract?
If you need to make changes to an already signed contract we recommend that you create a brand new contract where you state that it replaces the old contract.
A second option will be to make a new contract which only mentions the changes.
You can refer to the old contract by using its ID in the new one and by this eliminate any risk of confusion.
This means that if you at one point need to make any changes to a fully signed contract, you have the option to simply create the new version of it as an addendum (an addition) to the already existing contract by referring to the original one in the body text section.
Here is an example of how to achieve that:
"By signing this Order Confirmation, it is accepted by Party 1 and Party 2 that the previous agreement, Contract party 1 x party 2, with Document ID: (found in the URL), signed digitally on date by signee party 2 on behalf of Party 2, is annulled. The Party 1 "agreement" x party 2 - 2nd Version is the current applicable and binding agreement between Party 1 and Party 2."
You can find the ID of all your Contractbook documents while being opened in their URL, right after the last slash:
How to delete a signed contract?
There are two different ways of removing a contract from Contractbook, once it has been fully signed.
Archiving a contract
We are able to remove the contract from Contractbook platform's User Interface, which makes it inaccessible from both your account as well as any signing party's accounts. To do so we only need the following written details sent by the owner of the contract in our chat:
The URL link to the contract you want to archive
Written confirmation in our support chat, from the creator of the contract, that we can archive it on behalf of all signing parties in the contract
Once you have provided us with these details we will be able to archive the contract.
Fully deleting a contract
As we are responsible for providing all signed via Contractbook contracts' signature details and their associated data, we need to ensure that all signing parties fully agree to completely delete a contract from our platform and database before action from our backend can be taken. The data associated with a signed contract includes signature details that will be critical to proving the validity of the specific contract in case of any possible legal dispute.
In order to fully delete a contract, there are requirements for us to follow and ensure compliance with the applicable law.
In case you want to request a complete contract deletion, we need the following details provided from your and all additional signees' side:
Your full legal name
Your email address
The total number of signees of the contract you wish to delete
The URL link to the contract
A screenshot of the entire signature field
Written confirmation personally from all signees that the contract in question can be deleted and the action is accepted by them as well. This information must be sent to email@example.com and must be sent from the email addresses that were used to sign the contract. Note: it is not acceptable to forward the confirmation of another signee from the contract's owner's email address.
Once you have provided us with the above information we will be able to fully delete the contract and its associated data.
Important: Neither archiving nor deleting a contract can make it void.
If you still need additional information or assistance, reach out to us at any time via our Online Support Chat or by sending us an email.
