How do I allow the signees to fill in their details in the contract?
In all Contractbook data-rich documents, we allow you to save time by allowing the recipients of your contract to fill in any data-sensitive inputs such as bank and personal contact details themselves.
All you need to do is to add an Editable field for each of those data inputs, send the document in a draft mode and initiate the signature process after the Signee has returned it back to you.
How do I use Editable fields?
Editable fields are particularly useful for data inputs that are likely to change from one contract to another such as name, salary, dates, any personal details.
The editable fields can include three types of data:
- Text: all kinds of inputs are accepted: letters, words, numbers, special characters
- Number: only numbers are accepted
- Date: only date inputs are accepted. Depending on the language setting of the document the date format will change automatically. For example: <dd.mm.yyyy>, <yyyy.mm.dd>, or <mm.dd.yyyy>
How can I add an editable field?
To add an editable field, find and highlight the text you would like to become editable. Alternatively, you can just place your cursor at the place you want the editable field to appear. Then press the editable field icon in the Editor:
Now you need to fill in the editable field's Name and Default value.
Name: This is the ID of the editable field. If several fields share the same name, all those fields will auto-populate if you change the default value of one of them.
Default text: This is what will appear in the editable field. If you have highlighted a piece of text when you created the editable field it will automatically appear here. If the default value is not changed the generic name of the field will be visible in the final contract.
You can press Enter or Insert to confirm the creation of the editable field.
Numbers formatting in editable fields
When configuring an editable field of type number, you will have an additional toggle enabling the formatting options:
When the toggle is on, it will reveal a section called “Format” with a drop-down list allowing you to choose the separator for thousands and a toggle permitting to add a fractional part of the number.
All the editing must be done in Create mode with a Full-text editing option toggled on. And the final look of the defined editable field can then be accessed via the Preview mode of your document.
This additional customization of your editable fields allows you always correctly formatted numbers in the document content in preview mode, which meets the expectations and avoids misunderstandings of important data input.
How do I add data to Editable fields?
Once you or your recipients are ready to add data to the editable fields on a contract level, their default value will change. You can quickly jump directly to the next editable field which is available in the contract by pressing Tab on your keyboard. Keep using that command until all the editable fields are being populated with the required data input.
What do Editable fields look like in my documents?
There will be a difference in the way your Editable fields look in Create and Preview modes throughout the creation process of your contract.
This is how they look when you are in Create mode:
Once you switch to Preview mode, you will see the default value of the field as a natural part of your body text:
How do I delete an editable field?
The Editable Field can be deleted in the following two ways depending on the location of your cursor:
- You can place the cursor of your mouse right after the Editable field and press Backspace afterward. This will enable you to delete the Editable Field to the left of your cursor.
- If you place your cursor right before the Editable Field, you can use the keyboard shortcut Function (FN) + Backspace instead. This will enable you to delete the Editable Field to the right of your cursor.
