Contract is opened - automation trigger

This article will show you how to automatically send a new Slack notification once a specific signee opens a contract you sent for signatures:

How to set up automation triggered when a "contract is opened"?

  • Click on Automations tab from the main menu and then on the blue button Create new at the upper right-hand corner.

How can I configure the trigger event?

  • You will be redirected to a pop-up window where you can customize the automation's setup.
  • To specify when the automation should start, you can select a Contract is opened option from the drop-down menu.
  • This will automatically open a configuration window to the right in which you can define which pending contract should start the automation:

  • You can automate Slack notifications for all opened contracts, specific contracts, or contracts created from certain templates.
  • Once you have completed the trigger event, you can confirm by clicking on Save, and the next step in the automation setup will be displayed.

How can I change the trigger in my automation? 

  • At the very bottom of each trigger configuration window, you have the option to delete only this specific trigger and not the complete automation:

How can I configure the automation action?

  • This step covers the automated action, which will send a Slack message once your pending contract is opened.
    • You can use the search bar to find the best option for your use case.
  • We will select "Send a message on Slack":

  • A new configuration window will appear on the right side of the screen.
  • Here, you can select the contract variables that will be displayed in the Slack message, format it, and select the channel in which you want the message to get sent.

How do I know who has opened the contract?

  • You can choose from all contract variables, including the name of the signee who has opened the contract:

How can I delete an action in the Automation Builder?

  • At the bottom of each action configuration step, you have the option to delete only this specific block and not the complete automation:

How can I rename the automation?

  • You can always rename the automation and its configuration steps as you find fit by clicking on the small pen icon next to the generic title in the upper left-hand corner.
  • In the example we are working with, we will call it "Slack update on an opened contract":

How can I make changes to published automation?

  • If you need to make any changes to published automation, remember to unpublish it first, then make the necessary edits and click again on Publish to put the flow into practice and save all the changes.
  • You can control that by turning the Status toggle bar on or off:

How can I test the automation?

  • It is very simple!
    • Create a new draft from the template you selected in the automation trigger, send it for signatures to yourself or any of your colleagues, and ask them to open the contract from their email inbox or Contractbook account. ✨
    • Once any of the signees views the contract, you will see the automation execution under your account:

  • The automation status will be listed there as either successful or failed.

  • Immediately after the signee opens the contract, you will receive your new Slack message:
