This article aims to explain the use of the "Create contract in Contractbook" button in HubSpot.
How can I create contracts in HubSpot?
As a HubSpot user, you can create a contract at any time in the commercial process by clicking on the Contractbook button created and attached to a HubSpot object by your in-app automation.
- The button in HubSpot is called: “Create Contract in Contractbook.”
When the Create Contract in Contractbook button in HubSpot is clicked, you will be presented with the “Create contract” modal.
- Note: If you cannot locate the "Create contract in Contractbook" button, please contact your teammate who created the in-app automation.
- In the modal, you have to select an automation.
- The number and name of displayed automations in the pick list depend on the number of automations previously created in Contractbook by your teammates.
- If you are in doubt, you can reach out to your colleague, who is responsible for the flow configuration in Contractbook.
- The newly created contract will be listed under the “Contrcatbook contracts” widget in the HubSpot Object you work in.
- You can use this widget to monitor the status of the contract directly from HubSpot without the need to open Contractbook.
- If you need to access a created contract directly in Contractbook, click on the contract name in the “Contractbook contracts” widget.
- You will be redirected to the document in the main Contractbook application.
- Once in Contractbook, you can view the document, make changes (with the right permissions in the main application), fill in or amend data and metadata fields, or take any other action.
Can I add Quote attachments to the created contract?
Any file presented in the list attachments can be included in the created contract if you or your colleagues have included this in your chosen automation setup.
- A quote will be available as a PDF attachment in your Contractbook contracts.
- You will see the state of the Quote: “published” or “draft.”
- The state is exposed with the “is published” variable.
- These variables can be used to filter or add conditional statements to the automation, which will add the Quotes as attachments.
- Currently, no external attachments beyond already existing HubSpot Quote files can be added.
Where can I find created contracts?
- Under the HubSpot object, you will find a dedicated custom widget called Contarctbook contracts.
- Remember to refresh the page or the widget itself after running automation under the "Create contract in Contractbook" module, as this will load the newest contract in the HubSpot widget.
- The title column includes the name of the document in Contractbook.
- You can open the contract in Contractbook to make further modifications.
- To make any changes, see the document history or resend it for signatures. You need to open it in Contractbook first.
- Monitor the status of your contract (draft, pending, signed, rejected).
- Find the exact creation date and hour under "Created on":
How does the Deal object look in HubSpot?
- Once you start using the new HubSpot "Automation is triggered" trigger in relation to the Deal HubSpot object, you will see a new Deals timeline.
- It will include a new event called “Contract is created on Contractbook.”
