How to use Contractbook shared folders?
By using Contractbook shared folders you can share documents with only specifically chosen people. By organizing your documents in shared folders you will be able to manage access rights for multiple documents at once. Sharing documents this way is safe and increases both transparency and collaboration between you and all relevant stakeholders.
How to create a shared folder?
From the top main menu on your Contractbook platform choose Documents and then click on Shared folders at the left-hand navigation bar.
If you then click on the blue plus sign to the right of the folder name you will be able to create a new Shared folder by naming it:
You will always be able to differentiate a shared folder by the blue color. As a comparison, a private folder is colored in white.
Once you have created your first shared folder, you will be able to assign subfolders under it by clicking on the three small grey dots to the right of its name. Choose New subfolder from the drop-down menu and give a name to the shared subfolder:
The new subfolder will then be accessible under the main shared folder and you will furthermore be able to add new subfolders under the subfolder. Additionally, you can also choose to Rename, Delete, or Move the subfolder under another shared folder of your own.
How to add documents to a shared folder?
Once you have created your shared folder/s, you will be able to add any of your documents to them. Find the documents you want to add and click on the three small grey dots on the right-hand side. Then choose the last option from the drop-down menu Add to a shared folder.
Note: The original document will always remain available in its creation location which allows you to always be able to gain access to the document without possible changes from the people you have shared it with. This means that by adding the document to one of your shared folders, you will simply duplicate it without moving it.
How to add a template to a shared folder?
You can only choose to move a template to one of your private folders under Templates main folder.
