This article aims to explain the integration process between Contractbook and HubSpot and how you can benefit from the available in-app automation.
How can my team benefit from the new HubSpot "Automation is triggered" trigger?
-
You can now easily create contracts automatically and attach Quotes directly from HubSpot to them at any stage of your commercial process.
- A new automation trigger called "Automation is triggered" allows you to fetch data from the Deal and Company HubSpot objects.
- You can start your contract creation from two HubSpot objects, Deal and Company, triggered by clicking the "Create contract in Contractbook" button in a HubSpot widget.
- You can fetch more data from standard objects that are related to the Deal or Company objects.
- Any user working in the Deal or Company object can interact with the Contractbook widget, which shows listed contracts and their statuses. Moreover, users can access their contracts in Contractbook directly from the widget.
- You can track contract activity, such as contract creation, and the history of the object from which the contract was created.
- Click here to learn more about setting up this automation.
Adding Quote attachments to the created contract
- To include a quote generated in HubSpot as an attachment to your contract, you have to go to the “Attachments” tab in the “Create draft” action, click on the “URL” bar, and add a variable “Files selected in the flow.”
- You can add a specific number, "All files," selected in the flow, or apply filters to define which Quote to be attached.
You can attach quotes to your contracts in two ways, depending on your HubSpot integration setup:
1. Using the "Deal stage is changed" trigger in the Automation Builder
If you already have configured automation between Contractbook and HubSpot with the "Deal stage is changed" trigger and want to start attaching Quotes to your automatically created contracts:
- You must disconnect and connect again with HubSpot from the Integration tab.
- While connecting again, you must accept our new "Terms & conditions" extended by HubSpot Quotes and Tickets.
- Obs! We are linking Contractbook to HubSpot Quotes but not to Tickets yet. Tickets will be available in the future.
- Now, go back to your automation in the Automation builder and configure your attachments so the quote can be added to your contract.
- Publish your automation and benefit from adding Quotes to your contracts.
2. Using the new "Automation is triggered" automation trigger
- Click here to learn more about the entire configuration with the use of the new automation trigger.
- Once you have the automation configured in the app, you can add Quotes from HubSpot under the "Create draft" automation step - Attachments tab.
What happens if I disconnect Contractbook from HubSpot?
- You can disconnect your Contractbook account from HubSpot from the Integrations page under the Automations menu in the main application.
- If you have previously connected to a HubSpot account, you can click on "Disconnect."
- This action unpublishes all existing published automations that you have configured for HubSpot in Contractbook Automation Builder.
- A little label on the in-app automation's status will define if it was unpublished from the disconnection or not.
- This will not affect or remove your and your teammates' Contractbook widget in HubSpot nor automations created in Contracbook.
