What is a smart template?
A smart template is a contract template enriched with data fields:
They are the foundation for creating automated contract workflows and allow an instant overview of your contract data. Using smart templates for integrations with your tech stack, you can extract any contract data to your tools anytime.
For example, data fields such as Renewal date allow you to set a reminder task to follow up on the contract's renewal obligations, or you can sync that data with your existing tools to trigger tasks in there instead:
What is a data field?
There are two types of fields available in the Contractbook platform:
Data fields such as names, amounts, and dates will likely change between contracts. These fields are visible in the body of the contract by all parties.
Metadata fields store private information like negotiation terms or details you want to keep to yourself. These fields can only be seen by the contract owner and their team members with access to the contract.
Default data fields
Each template comes equipped with 7 default data fields. These fields will always be available when creating or editing any template or draft.
The default data fields are:
Start date, Expiration date, Renewal date, Terms of termination, Document connection, and Contract currency:

- The list of default data fields is only the beginning. To take full advantage of smart templates, you should enrich your templates with all relevant data fields.

Data management and naming conventions
When working with data fields, it is crucial to be consistent with the naming conventions and reuse existing data fields in different templates and documents.
You can define a naming convention that is consistent with your tech stack but make sure to avoid creating duplicate data fields.
By reusing data field names in different smart templates, it will be easier to build automated workflows and sync data between your existing tools. Data analysis and reporting are only possible if the data field names are reused across all the relevant templates.
